Agency Operations Automation Suite

End-to-end operations automation for a 15-client agency — from new client onboarding through to invoice collection.

Problem

A digital marketing agency with 15+ active client accounts was managing everything in spreadsheets: onboarding checklists, project task assignments, approval workflows, and invoice tracking. New client onboarding took 3 full days of internal work. Invoices were raised manually and chased by email, with payment delays averaging 21 days. Directors were spending 8–10 hours per week on operations that generated no billable output.

Our solution

We built an integrated operations suite on Supabase with n8n automation. A new client form triggers automated workspace creation, contract delivery, and onboarding sequence. Project tasks are generated from templates and assigned automatically based on service type. Approval workflows route deliverables to the right stakeholder with escalation logic. Invoices are generated, sent, and chased automatically, with payment status synced back from the accounting integration.
